When and Why Does the PTA Change?

Several criteria are evaluated to determine whether a new account string will be assigned for a particular year, or whether only a new task and/or award will be assigned.

In general, project accounts are maintained for the life of the project; they do not change from period to period. The following guidelines have been established to determine when a project ends and when a new project, task, and/or award are assigned.


  • Scenario 1: Federal LOC-SNAP - Initial Funding

    A department receives funding for a 5-year SNAP federal grant. Project 222222 is assigned to this grant. How will the Account String change over the life of the Project?

    SNAP funding retains the same PTA string over the full life of the project; it does not change from year to year. An example of the PTA account string would be:

    Year 1 222222.01.01.3333333
    Year 2 222222.01.01.3333333
    Year 3 222222.01.01.3333333
    Year 4 222222.01.01.3333333
    Year 5 222222.01.01.3333333
  • Scenario 2: Federal LOC-SNAP - Additional Funding

    After the initial 5-year funding ends, the department receives an additional 5 years of funding. However, a new Letter of Credit (LOC) number is issued. How will the Account String change over the life of the Project?

    When the LOC document number changes, this is considered a new project. All segments of the PTA changes in the year that the new funding is awarded, and then remains the same until the end of that project. An example of the PTA account string would be:

    Year 6 233333.01.01.3444444
    Year 7 233333.01.01.3444444
    Year 7 233333.01.01.3444444
    Year 9 233333.01.01.3444444

  • Scenario 3: Federal LOC-Non SNAP - Initial Funding

    A department receives funding for a 5-year non-SNAP federal grant. Project 222222 is assigned to this grant. How will the Account String change over the life of the Project?

    Non-SNAP funding is assigned a new task and award number each year. An example of the PTA account string would be:

    Year 1 222222.01.01.3333333
    Year 2 222222.01.02.3333334
    Year 3 222222.01.03.3333335
    Year 4 222222.01.04.3333336
    Year 5 222222.01.05.3333337
  • Scenario 4: Federal LOC-Non SNAP - Additional Funding

    After the initial 5-year funding ends, the department receives an additional 5 years of funding. However, a new Letter of Credit (LOC) number is issued. How will the Account String change over the life of the Project?

  • Scenario 5: Federal Non-LOC-Contracts - Initial Funding

    A department receives funding for a 5-year federal contract. Project 222222 is assigned to this contract. How will the Account String change over the life of the Project?

    Non-LOC contract funding retains the same PTA string over the full life of the project; it does not change from year to year. An example of the PTA account string would be:

    Year 1 222222.01.01.3333333
    Year 2 222222.01.01.3333333
    Year 3 222222.01.01.3333333
    Year 4 222222.01.01.3333333
    Year 5 222222.01.01.3333333
  • Scenario 6: Federal Non-LOC-Contracts - Additional Funding

    After the initial 5-year funding ends, the department receives an additional 5 years of funding. How will the Account String change over the life of the Project?

    As there is no LOC document number change, this is not considered a new project. All segments of the PTA remains the same until the end of that project. The project ends when no more funding is approved An example of the PTA account string would be:

    Year 6 222222.01.01.3333333

  • Scenario 7: Non-Federal - Continuation Year

    A department receives non-federal funding for 2 years. Project 222222 is assigned. The following year, a 2-year continuation is funded. How will the Account String change over the life of the Project?

    Non-Federal funding retains the same project number for each year it is approved; however, new task and award segments are assigned each continuation year. An example of the PTA account string would be:

    Year 1 222222.01.01.3333333
    Year 2 222222.01.01.3333333
    Year 3 222222.01.02.3333334
    Year 4 222222.01.02.3333334
  • Scenario 8: Non-Federal - Not a Continuation Year

    A department receives non-federal funding for 2 years. Project 222222 is assigned. The following year, the department receives 2 new years of funding. Though the scope of the work being performed is the same as that of the original funding, this funding is not tied to the original funding. How will the Account String change over the life of the Project?

    When non-federal funding is approved and it is not a continuation year, a new PTA string is assigned. An example of the PTA account string would be:

    Year 1 - old funding 222222.01.01.3333333
    Year 2 - old funding 222222.01.01.3333333
    Year 1 - new funding 233333.01.01.3333334
    Year 2 - new funding 233333.01.01.3333334
